Job Summary

Oversees the overall strategy and execution of the company’s travel and expense program. Develops and administers policies for company travel, expense reimbursements and corporate cards. Runs and maintains audit reports to ensure adherence to established policies. Prepares month-end journal entries and performs reconciliations. Provides support to employee-owners by answering questions and resolving issues related to the company’s travel and expense program.

Responsibilities

Essential Functions

  • Defines and implements strategies to support day-to-day operations of the company’s Travel and Expense program.
  • Develops and administers policies for company travel, expense reimbursements and corporate cards. 
  • Manages and provides support for the company fleet program ensuring program performance and cost savings while delivering customer service to drivers. 
  • Establishes various audit and spend reports for the business to ensure adherence to policy and to makes recommendations on policy. Reviews reports and follows up on compliance issues as needed. 
  • Prepares all Travel & Expense month-end journal entries and assists with reconciliations.
  • Maintains integrity of Concur reporting including review and monitoring of user profiles, assistance with training, and participation in ongoing implementations and updates.
  • Manages and submits support cases for the business through SAP Concur Travel & Expense.
  • Works with dedicated travel management company to manage preferred travel and resolve inquiries.
  • Provides user support regarding travel and expense program, including addressing issues, requests, system errors, payment inquiries and other matters related to travel and expense.
  • Serves as a subject matter expert and key escalation contact for internal stakeholders and preferred suppliers. 

Non-essential Functions

  • May develop presentations for committee meetings. 
  • Makes recommendations for finance leadership as needed. 
  • Performs other duties as assigned by supervisor or designate.

Qualifications

  • Bachelor’s degree in accounting, finance or business administration preferred or equivalent work experience.  
  • 3-5 years’ experience in travel and expense reimbursement processes and services. 
  • SAP Concur Travel & Expense experience preferred. 
  • Strong knowledge of Microsoft Office products including Excel, Power point, Word, & Access.
  • Proven accounting and financial capabilities.

  • Ability to effectively plan and organize. 
  • Excellent customer service skills include being competent, accurate, responsive and engaged.
