Job Summary

The Senior Event Specialist helps plan and execute a wide range of events for Border States, including industry, customer, vendor and internal events. This role will be a part of our Events Team, collaborating closely with internal stakeholders across the organization to translate event vision and objectives into best-in-class attendee experiences. This role ensures our brand experience is upheld and consistent across their managed events and takes direction from the Event Manager on project ownership and coordination.

Responsibilities

Essential Functions

  • Plans and facilitates logistics and overall experience for Border States large-scale events, including researching and securing venues, contract negotiations, guest lists, venue preparation, presentation materials, security, catering, entertainment, transportation, equipment, décor and marketing materials.
  • Creates and implements best practice checklists and kits for various event types to drive scalability and consistency for event execution.
  • Collaborates with cross-functional teams (marketing, field enablement, sales, HR, creative services) to ensure and deliver a cohesive pre-event, at-event, and post-event tactics.
  • Maintains event calendar ensuring visibility into managed Border States events.
  • Advocates for best-in-class attendee experience; guiding participating employee-owners on event best practices, service standards and delivery of personal experiences.
  • Facilitates event communication – both internal and customer-facing, pre- and post-communications.
  • Partners with Marketing on lead capture capabilities for customer events.
  • Ensures brand experience is upheld and consistent across Border States events, including promotion, display and on-site presence.
  • Responsible for maintenance/shipping and tracking of event assets (tablecloths, displays, banners, etc.).
  • Builds and nurtures relationships with vendors, venues, and other industry contacts.
  • Remains current with trends in event planning, design, and production.

Qualifications

  • Bachelor’s degree in PR, marketing, hospitality management or related field or equivalent work experience.
  • 3+ years of experience in event management.
  • Skilled in project management. 
  • Knowledge of KPIs and marketing techniques for event management
  • Strong working knowledge in Microsoft Office (Excel, Word, Outlook and PowerPoint). 
  • Cvent Event Management software experience a plus.
  • Adobe Creative Suite (InDesign, Photoshop, Illustrator, Acrobat) and other graphic software a plus. 
  • Web design, HTML, CSS, Premiere, Flash skills a plus.
